Apps like Google Authenticator and Authy offer stronger protection than text-based MFA by generating secure codes on your device, reducing the risk of phishing and SIM-swapping attacks.

What is Multi-Factor Authentication?

Multi-Factor Authentication (MFA), also known as Two-Factor Authentication (2FA), adds an extra layer of security to your account by requiring two forms of verification:

  1. Something you know - Your password
  2. Something you have - A code from your authentication app or phone

This means that even if someone obtains your password, they still cannot access your account without the second verification step.


Setting Up MFA for Your Account

Step 1: Access Your User Settings

  1. Log in to your Reach Reporting account at app.reachreporting.com
  2. Click the hamburger menu (three lines) in the upper right corner
  3. Select User Settings
  4. Navigate to the 2FA section

Step 2: Enable 2FA

Choose your preferred authentication method:

  • Authentication App (recommended) - Use apps like Google Authenticator, Authy, or Microsoft Authenticator
  • SMS Text Message - Receive codes via text message to your phone

Step 3: Complete Setup

For Authentication Apps:

  1. Download or install Authy or Google Authenticator or your preferred app for your phone or tablet
  2. Open the authentication app and scan the QR code displayed on screen using your device’s camera
  3. Enter the 6-digit code generated by your app to verify setup
  4. Important: Save your backup codes in a secure location

For SMS:

  1. Enter your phone number and verify it
  2. Enter the verification code sent to your phone via text message
  3. You will then receive a text message with a code needed to complete sign-in
  4. Important: Save your backup codes in a secure location

Xero 2FA Requirements

Important Security Requirement for Xero Users

Due to regulations set by Xero, Reach Reporting enforces 2FA on any workspaces with Xero companies connected. This requirement cannot be disabled for workspaces containing Xero integrations.

This heightened security measure has been endorsed by Xero and our team. We value your support in safeguarding your personal information and data.

Workspace-Level MFA Requirements

For Workspace Owners

Workspace owners can require MFA for all users and clients in their workspace:

  1. Navigate to Workspace Settings (gear icon in upper right)
  2. Enable Require Two-Factor Authentication for all users
  3. Click Update to save settings

Important Notes:

  • This setting applies to all workspace users and clients
  • In workspaces containing Xero integrations, this setting cannot be turned off and MFA is always required
  • Once MFA is required at the workspace level, all users must enable it to access that workspace

For Users in Multiple Workspaces

If you have access to multiple workspaces with different MFA requirements:

  • Example: You have access to both a Xero workspace (MFA required) and a QBO workspace (MFA optional)
  • You will be required to enable MFA in your user settings whenever you visit the Xero workspace
  • If you only access the QBO workspace, MFA will not be required unless the workspace owner has enabled it

Single Sign-On (SSO) Bypass

If you sign in using Google SSO, Xero SSO, or Intuit SSO, you may be able to bypass Reach Reporting's MFA requirement, as these providers have their own authentication security measures.


Disabling MFA (When Allowed)

Even if MFA is turned off at the workspace level, individual users must manually disable it in their own settings:

  1. Go to the hamburger menu in the upper-right corner
  2. Select User Settings
  3. Navigate to the 2FA section
  4. Click Disable Two-Factor Authentication

Note:

  • Clients must also follow this process if they wish to disable MFA for their account (when permitted by workspace settings)
  • MFA cannot be disabled for workspaces with Xero integrations

Troubleshooting MFA Issues

Not Receiving Your MFA Code?

If using SMS:

  • Check your spam or blocked messages folder
  • Restart your phone and try again
  • Ensure you have cellular signal or WiFi connectivity
  • Verify the phone number on file is correct

If using an authentication app:

  • Ensure your device's time is set to automatic
  • Check that you're looking at the correct account in your authentication app
  • Regenerate your QR code and re-scan if the codes aren't working

Changed Your Phone Number?

If you received a new phone number and can't log in with 2FA:

  1. Contact Reach Reporting Support via:
    • Chat button on the website
    • Email: support@reachreporting.com
  2. Provide the following information:
    • Your old phone number
    • Your new phone number
    • Verification of your identity

Important: The request to update your phone number must come from the user account that needs the reset. We cannot process phone number changes on behalf of other users for security reasons.

Lost Access to Your Authentication App?

If you've lost access to your authentication app:

  1. Use one of your saved backup codes to log in
  2. Once logged in, disable MFA and set it up again with your new device
  3. If you don't have backup codes, contact support for assistance with identity verification

Best Practices for MFA Security

  • Save your backup codes in a secure location separate from your authentication device
  • Use an authentication app rather than SMS when possible for stronger security
  • Don't share your authentication codes with anyone
  • Keep your authentication app updated to the latest version
