Converting from QBD to QBO in Reach Reporting

When migrating from QuickBooks Desktop to QuickBooks Online, it's important to follow a structured approach to ensure your Reach Reporting setup remains intact and functional. This guide will walk you through the migration process step by step.

Things to Consider When Migrating from QuickBooks Desktop (QBD) to QuickBooks Online (QBO):

Step 1: Save Templates

Before beginning the migration, ensure all your work in Reach Reporting is saved as templates. This will make the transition smoother and preserve your setup.

To save templates:

  • Save all reports as templates by clicking the gear icon on each report and selecting "Save as Template"
  • Save all dashboards as templates by clicking the gear icon on each dashboard and selecting "Save as Template"
  • Choose "Entire Workspace" when saving templates to ensure they're available for the new QBO company

Step 2: Add the QBO File Without Deleting the QBD File

When linking the new QBO file to Reach, do not delete the existing QBD file. Keeping both files temporarily allows you to cross-check and verify the data.

To add the QBO company:

  • Click "Add Company" in your workspace
  • Select "Connect to QuickBooks Online"
  • Follow the authentication process to connect your QBO file
  • The QBD and QBO companies will both appear in your workspace

Step 3: Apply Templates

Once the QBO file is connected, apply the saved templates. If account names and codes are similar between the two files, everything should align seamlessly.

To apply templates:

  • Open the new QBO company
  • Add reports from your saved templates by clicking "Add Report" > "From Template" > "My Templates"
  • Add dashboards from your saved templates by clicking "Add Dashboard" > "From Template" > "My Templates"
  • Review each template to ensure proper account mapping

Step 4: Verify the Migration

Double-check that all data has been transferred correctly. Once you confirm everything is accurate and functioning as expected, you can safely delete the QBD file from Reach.

Verification checklist:

  • Compare key financial figures between QBD and QBO companies
  • Ensure all reports are displaying correct data
  • Verify that dashboards are functioning properly
  • Check that any custom calculations or formulas are working
  • Confirm that class/department filters are working if applicable

To delete the QBD file:

  • Once verification is complete, click the gear icon next to the QBD company
  • Select "Delete" to remove the QBD company from your workspace

Important Notes

  • Account Mapping: If account names or numbers have changed between QBD and QBO, you may need to remap accounts in your metrics and unlocked statements
  • Support: If you encounter issues during the migration, contact support for assistance
